Who we are
Ngā Māia Charitable Trust is the legal entity responsible for this website and membership registration. Iwaiwa is the Trust’s public trading name. This statement explains how information is handled through the Iwaiwa website and membership registration.
IWAIWA, including its word and text style, is Ngā Māia Trust’s trading name. IWAIWA and the tohu are registered trademarks of Ngā Māia Trust.
Contact Ngā Māia Charitable Trust at 96 Waioeka Road, Ōpōtiki 3172, or email admin@ngamaiatrust.org. This address receives general enquiries, requests to access or correct personal information, and privacy concerns.
Information collected
Enquiries collect your name, email address, subject or enquiry category, and message. Membership registration collects name, email, account credentials, professional status, phone, address, region, Iwi, Hapū, gender, ethnicity, affiliations, APC number, midwifery school and year of study, and your terms agreement. Some details apply only to midwives or students.
Why information is collected
We use information to respond to enquiries, administer membership and resource access, maintain member records, communicate about membership and relevant Trust activities, and understand the communities and regions represented by members.
Iwi, Hapū and ethnicity help the Trust understand membership eligibility and the communities represented. Māori whakapapa is not a requirement for the other-midwife membership category. Gender information helps the Trust understand broader whānau engagement and representation. Registration alone does not verify professional status or whakapapa.
Required and optional details
The form labels required and optional fields. A required field is necessary to submit the form; this does not mean a law requires you to provide it. Without required information, registration cannot be completed through the form. Contact us if a required field does not apply to you.
If Iwi or Hapū does not apply to you, enter “Not applicable”. These fields remain required on the registration form.
Who handles the information
Ngā Māia Trust, trading as IWAIWA, maintains its information records and membership database through staff with express access permissions. Information is used only for its intended, consented purposes. Regional representatives do not have access to the database.
The membership database is not provided to outside organisations for their own use. The Trust uses paid, cloud-hosted services to host and administer its website, membership records and communications. These providers handle information as needed to supply services to the Trust.
Builderall provides website, form and member-account services; MailingBoss supports mailing-list communications; and Google Workspace supports organisational email. Their systems may store or process information outside New Zealand. Provider processing on the Trust’s behalf is distinct from giving regional representatives or outside organisations access to the membership database.
Website storage and technical information
The English/Māori toggle stores your language preference in your browser’s local storage so that your choice is remembered between pages and visits. You can remove this preference by clearing website storage in your browser.
Website and service providers may receive technical information such as your IP address, browser or device information, pages requested and request times when delivering their services. The separate member-login service may use cookies or other storage to keep you signed in. External links take you to services with their own privacy and storage practices.
Account and email preferences
Member resource access is granted automatically after registration. Registration does not independently verify professional status. Membership communications relate to administering your membership and Trust activities; promotional email preferences are separate. Agreeing to membership terms is not blanket consent to every future marketing message.
Unsubscribing from the email list stops mailing-list emails. It does not end your Iwaiwa membership or remove access to member resources. To end your membership, make a separate request at admin@ngamaiatrust.org.
Retention and protection
The Trust’s policy is to retain personal information only for as long as it is needed for the purposes for which it may lawfully be used, including relevant record-keeping obligations. Access is restricted to authorised people.
Ending membership does not necessarily mean every record is immediately deleted. Relevant administrative records, email preferences and provider backups may need to be retained. Contact us about information held about you or a request to remove it; we will explain any information that must be retained.
Access, correction and concerns
You can ask to access or correct personal information held about you and raise a concern about how it is handled. The Trust may need to verify your identity when responding. If a concern cannot be resolved with the Trust, you can contact the Office of the Privacy Commissioner.

Changes
The proposed effective date is 13 October 2026, subject to final adoption by the Trust. The Trust Board Executive will communicate material changes affecting members directly to those affected.
